1. Who We Are
RAPID Physio (“RAPID”, “we”, “us”, “our”) is a physiotherapy clinic based in Dublin 12, Ireland, operating the websites rapid.ie and mastersprogram.ie. We are committed to protecting your privacy and handling your personal data openly, fairly, and in line with the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.

2. The Information We Collect
We collect personal data in a number of ways, depending on how you interact with us:
- Contact and booking details - name, email address, phone number, and any information you provide when you get in touch, request an assessment, or book an appointment.
- Lead magnet and download details - name and email address when you download a guide, cheat sheet, or resource from one of our specialist pages.
- Self-assessment and quiz responses - name, email address, and your answers when you complete one of our interactive self-assessments (for example, the hamstring or sailing capacity assessments, or the Masters Program health check).
- Newsletter and email marketing details - name and email address if you subscribe to updates from RAPID or the Masters Program.
- Technical and analytics data - information collected automatically via cookies and similar technologies when you visit our website, such as IP address, browser type, device information, and how you use our site. Full detail on this is set out in our Cookie Policy - see Section 10 below.
- Coachee/client data - information you share with us in the course of an assessment, consultation, or treatment relationship, which may include details of your injury, symptoms, and rehabilitation history.
A note on health-related information
Some of what you share with us - for example, a description of an injury on an intake form, in a contact form, in a quiz response, or in conversation with one of our physiotherapists - may constitute special category data (health data) under GDPR. Where this applies, we only collect and use this information with your explicit consent, and only for the purpose of providing you with appropriate assessment and treatment, or responding to your enquiry. We do not use health-related information you share with us for marketing purposes.
3. How We Collect Your Personal Data
We collect personal data directly from you when you fill in a form on our website, book an appointment, download a resource, complete a self-assessment, subscribe to our newsletter, or otherwise contact us.
We also collect some personal data indirectly, through third parties and automated technologies. This includes analytics providers, advertising networks (including Meta and Google), and the tools we use to run our website, quizzes, and booking system (including Kajabi and Formly). Where this data is processed outside the UK and/or EU by one of these providers, we take reasonable steps to ensure it is protected to a standard equivalent to that required under GDPR, for example through the provider's own Standard Contractual Clauses or an adequacy decision.
4. Why We Collect Your Data and Our Lawful Basis
We only collect and use personal data where we have a valid lawful basis to do so under GDPR. Depending on the purpose, this will be one of the following:
- Consent - for example, when you sign up to our newsletter, download a lead magnet, or complete a self-assessment quiz. You can withdraw this consent at any time.
- Contract - where we need your data to provide a service you have requested, such as booking and delivering a physiotherapy appointment.
- Legitimate interests - for example, to understand how our website is used so we can improve it, provided this does not override your rights and interests.
- Legal obligation - where we are required to retain certain records, for example for insurance, tax, or clinical record-keeping purposes.

We use the personal data we collect to:

- Send you the resource, guide, or self-assessment result you have requested.
- Send you newsletters, updates, or nurture emails, where you have consented to receive these - you can unsubscribe at any time using the link in any email.
- Understand how our website is used, so that we can improve our content and services.
- Meet our legal, regulatory, and insurance obligations as a healthcare provider.
6. Automated Processing and Self-Assessment Quizzes
Our website includes interactive self-assessment quizzes (for example, the hamstring self-assessment and the Masters Program health check) which ask you a series of questions and, based on your answers, place you into a general result category (such as “Match-Ready”, “Getting There”, or “Not Yet”). This is a simple, rules-based scoring process rather than automated decision-making that produces legal or similarly significant effects on you - no decision about your treatment, booking, or eligibility for our services is made automatically, and a member of our team will always be involved before any clinical decision is made about you. Your quiz result is provided for general guidance and educational purposes only, and does not replace a professional assessment.
7. Who We Share Your Data With
We do not sell your personal data. We may share it with trusted third parties who help us run our website and deliver our services, including:
- Kajabi - our website, email, and client management platform.
- Formly - our self-assessment quiz builder, connected to Kajabi via Zapier.
- Meta and Google - for advertising and analytics purposes, where you have consented to marketing cookies (see our Cookie Policy).
- Professional advisers, insurers, and regulators, where necessary to meet our legal and professional obligations.
Each of these providers is only given access to the personal data they need to perform their function, and we expect them to handle it securely and in line with GDPR.
8. International Data Transfers
Some of the providers we use, including Kajabi, may store or process data outside the European Economic Area (EEA) and the UK. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or an adequacy decision, so your data continues to receive a level of protection equivalent to that under GDPR.
9. How Long We Keep Your Data
We keep personal data for as long as necessary to fulfil the purpose it was collected for, and to meet our legal, clinical record-keeping, and insurance obligations. Clinical records are retained in line with professional physiotherapy guidance and Irish healthcare record-keeping requirements. Marketing data (such as newsletter subscriptions) is kept until you unsubscribe or ask us to delete it.

12. Children's Data
Our services are aimed at adults and young athletes engaging with us through a parent or guardian. We do not knowingly collect personal data from children under 16 without appropriate parental or guardian consent. If you believe a child has provided us with personal data without appropriate consent, please contact us so we can remove it.

We may update this policy from time to time to reflect changes in our practices or in the law. The “last updated” date at the top of this page will always show when it was last revised. We encourage you to check back periodically.
